Spending limits and adding seats

Two things decide what your organization can spend: your wallet balance, which is real money, and the optional monthly limits you set for departments and seats.

Your wallet is the hard stop

Everything an agent does is paid from your wallet balance. When the balance runs out, work stops. There is no overdraft, and no limit you set can spend money you have not added.

Keep that in mind for everything below: a monthly limit never raises what can be spent. It can only lower a ceiling that already exists.

Monthly limits are optional

You can run a whole organization without setting a single limit. Set one when you want a department or a seat held to less than your balance allows.

  • A seat with no limit of its own uses the limit of its department, if the department has one.
  • A seat set to “no limit of its own” is different from a seat with no setting. It is an explicit choice that stops any department limit applying to that seat. Your wallet still stops it, and its spending is still recorded.

“No limit” never means unlimited spending

It means no extra ceiling below your balance.

How a seat’s limit relates to its department’s and organization’s limits is set out under Organization seats.

When a seat asks for another seat

A seat can ask you to add another seat to the organization, for example when it is doing two jobs and falling behind. It cannot create one itself. Requests appear on your organization overview under “Needs you”.

Open Review seat requests to see what was asked for and why. You decide two things:

  1. What it may spend each month. You cannot approve a request without answering this. A new seat spends money every month, so you either give it a monthly limit or explicitly choose “no limit of its own”.
  2. What it is told to do. You see the proposed instructions and can change them before you approve. What you save is what the new seat gets. Read them: they are what the seat will actually do, and they were written by whatever asked for it.

Declining records your decision and the reason. It does not stop the same seat being requested again later; only a request that is still waiting blocks another one with the same name in the same department. You can also create the seat yourself at any time.

At most 5 requests can wait for you at once. Further requests are refused until you have answered some.

Pausing, stopping and retiring a seat

All three buttons are on your organization overview, next to each seat.

  • Pause: the seat starts nothing new. Work already running is left to finish.
  • Stop: the same, and work already under way is cancelled.
  • Retire: the same, and the seat’s monthly limit is released so it no longer holds part of your budget. Its spending history is kept.

None of these undo work done outside the platform

If a seat has already sent an email or changed a record in another system, stopping it does not reverse that.
